The Office Coordinator at Kraft Heinz Woodstock is the face of the plant’s HR team and facility and sets the tone for the culture of the function.
Responsibilities:
- Guide employees through FML, STD, bereavement, and other leave processes and manage their records in Kronos.
- Manage the attendance system, including tracking points and distributing/collecting point notifications.
- Respond to unemployment claims and participate in appeals hearings.
- Guide employees through benefits enrollments and other benefit inquiries
- Assist employees with password resets and general access assistance for HRIS systems.
- Be an advocate for plant employees by addressing their issues if possible and escalating serious or repetitive issues to appropriate leadership.
- Manage all personnel change documents and personnel files.
- Keep employees updated on relevant communications through updating of communication boards, Bright Sign TVs, and through verbal discussion.
- Keep plant phone list, production org chart, and all employee email directory updated as well as managing HR Controlled Documents on SharePoint/Teams
- Run reports in Kronos, including but not limited to, the daily total hours report.
- Create and publish the weekly/daily Production Schedule
- Maintain relevant logs for discipline, accommodations, attendance, and others.
- Manage old files disposition to Iron Mountain.
- Compile and collate complex records from multiple sources (files, emails, notes, reports, etc.) to aid investigations.
- Identify and execute opportunities for process improvement.
- Assist with miscellaneous tasks for other departments as assigned
- Maintain confidentiality.
- Other duties as assigned.
Requirements
- Minimum of 2 years’ experience in an administrative setting or a degree in higher education.
- Minimum of 1 year experience in a Union environment
Qualifications
- Excellent customer service, professionalism, confidentiality, self-motivation, and reliability.
- Excellent oral and written communication skills in English; Multi-Lingual is a bonus- Spanish and French!
- Ability to work independently with little to no daily direction.
- Positive, patient, and empathetic demeanor.
- High attention to detail as well as excellent note taking, organizational skills and time management.
- Ability to work effectively with ongoing interruptions.
- Adequate typing proficiency to keep up with tasks.
- Proficiency in Word, Excel, Outlook, and Power Point.
- Ability to learn, apply, and teach numerous categories of employment laws, benefits, and policies such as FMLA, ADA, health insurance benefits, Short Term Disability, Company Handbook, etc.
- Ability to learn HRIS systems such as Workday, Dayforce, Kronos, and GBS Portal.
